Planning guidance, not transaction approval
Trade, customs and carrier requirements vary by commodity, route and date. Check current official requirements and obtain transaction-specific confirmation before dispatching goods.
A useful freight quotation starts with accurate shipment data. Providing the right information at the beginning helps a freight provider compare realistic routes and reduces the risk of a rate changing later because weight, volume or collection requirements were missing.
1. Origin and destination
Provide the collection postcode or city and country, plus the final delivery city, postcode or port. A port-to-port rate and a door-to-door rate are not the same service, so be clear about the required scope.
2. Commodity
Describe what the goods actually are rather than using a broad term such as “parts” or “materials”. The commodity can affect carrier acceptance, customs classification, handling and documentation.
3. Packages, weight and dimensions
State the number and type of packages, gross weight and dimensions of each package or pallet. For air freight, dimensional weight can materially affect the charge. For sea freight, cubic volume helps determine whether LCL or a full container may be more suitable.
4. Ready date and required timing
Give the date the cargo can genuinely be collected and any delivery deadline. This helps distinguish between economy, standard and expedited options.
5. Incoterm or commercial responsibility
If agreed, provide the Incoterm used between buyer and seller. It helps identify which party is responsible for particular transport stages, costs and risks. If you do not know it, explain what you expect the freight quotation to include.
6. Special requirements
Tell the provider about non-stackable cargo, loading restrictions, tail-lift needs, hazardous classification, temperature control, export licences or other special handling before the rate is issued.
